Everything you need to write good emails

Troy Munson analyzed 200+ cold emails and found what actually works. Follow this to improve your outreach today.

1. Keep emails short

Most emails are too long. Get to the point fast.

⇢ Keep it between 50-80 words – Anything longer gets ignored

⇢ Remove extra explanations – One sentence should explain your company’s impact

⇢ Cut unnecessary details – Say only what matters to the reader

2. Remove filler words

Fluff makes your email weaker. Delete these common culprits:

• Just reaching out

• Significantly better

• I noticed that

↳ No need for adjectives before impact—let the numbers speak.

3. Stop overusing "I"

Your email should focus on the prospect, not you.

âś” Rewrite sentences to remove "I"

✔ Example: "I'm reaching out" → "Reaching out"

✔ Example: "I noticed that..." → "Noticed your..."

↳ The less you talk about yourself, the more engaging it is.

4. Make subject lines shorter

Long subject lines look like spam. Keep it tight.

⇢ Use 2-3 words max

⇢ Avoid names – Personalization can sometimes trigger spam filters

⇢ Examples: Cloud costs | Pipeline | Your research paper | Yesterday’s news

5. Keep the CTA short

People don’t have time for long requests. Make it easy to say yes.

âś” Bad CTA: "How about we set up a quick conference call?"

✔ Better CTA options: • Worth exploring? • Sound interesting? • Any interest?

↳ The shorter the ask, the higher the response rate.

The secret to cold emailing prospects

Patrick Dang walks through how to write cold emails that turn strangers into paying customers. By following these steps, you’ll boost your cold email effectiveness and start getting more responses from prospects.

1. Create a strong cold email template

A poor cold email will likely get ignored.

⇢ Start with a proven template for reaching potential clients.
⇢ Review poorly written emails to understand what to avoid.

↳ Always focus on delivering value, not just making an introduction.

2. Use the pain formula for a clear, compelling email

Your email should address the recipient’s pain points.

• Be specific about their problem.
• Avoid vague offers—clarity drives action.
• Ensure grammar and language are appropriate for Western audiences.

↳ The email should be direct and to the point, with no unnecessary fluff.

3. Make the email relevant to the recipient

Start with an introduction that connects to their work or challenges.

⇢ Reference their company or specific situation.
⇢ Show how you can help solve their problems or improve their situation.

↳ A personalized approach makes the email feel more relevant and engaging.

4. Repurpose content for maximum reach

Convert YouTube videos into blog posts for organic traffic.

• Turn video content into articles that rank on Google.
• Address customer pains in your blog posts to improve search results.

↳ Repurposing content ensures you get the most out of your efforts.

5. Make it easy to agree to a meeting

Establish credibility and end with a clear call-to-action.

⇢ Mention relevant past clients or success stories.
⇢ Ask for a meeting with a specific action.

↳ Keep the email concise and straightforward.

6. Use scheduling tools for easier meetings

Simplify the process by letting prospects schedule meetings directly.

⇢ Tools like Calendly make scheduling easy for both sides.
⇢ Always include a clear CTA for booking a meeting.

↳ This removes friction and makes scheduling hassle-free.

7. Stick to the basic framework for emails

Use a proven structure to write effective cold emails.

• Intro → Pain → Solution → Call to Action.
• This method increases response rates and sets expectations.

↳ Following the template brings consistency and predictability to your outreach.

Write cold emails that get responses

Josh Braun explains how to write cold emails that sound human, not robotic. His approach focuses on blending competence with warmth using the 4-T framework.

1. Trigger

Start with something personal and relevant to the recipient.

⇢ Example: "Hey Josh - It looks like your YouTube videos are getting ~200-300 views."

↳ This shows you’ve done your research and are speaking directly to them.

2. Think

Ask a question that sparks curiosity about a problem they may be facing.

⇢ Example: "How are you ensuring they get promoted to a larger audience of salespeople?"

↳ This question makes them reflect on something they might not have thought about before.

3. Third-Party Credibility

Use your experience or a success story to build trust.

⇢ Example: "I’ve been optimizing YouTube videos for three years for influencers like Alex Hormozi that boost views and subscribers."

↳ Mentioning recognizable names or offering a guarantee (like a money-back promise) helps build credibility.

4. Talk?

Ask a simple question to see if they’re interested.

⇢ Example: "Think this might help?"

↳ A non-pressuring question allows them to decide if they want to learn more.
